Centralized document management
More and more business users are spending larger percentages of their time creating content in the form of MS Word documents, MS Excel Spreadsheets, PowerPoint presentations, along with an array of other document types and files. Today we typically manage these documents on our desktop folders, in email, on shared network drives, local and USB flash drives, as well as other ad-hoc storage methods. As a result, we often spend valuable time searching for what we need. An even bigger problem also presents itself around security, lost documents, revision confusion, and unauthorized access to sensitive information.
By enabling users to store and retrieve documents through a Windows drive letter, you extend your electronic filing system across your organization. Document Server acts as a centralized electronic document filing system, maintaining a secure and auditable information infrastructure with minimal cost and effort. Documents can be indexed, checked in and checked out, and users can create new versions of documents ensuring the information trail remains intact.
- Increase productivity - now even remote teams can find and share documents in a centralized location
- Support compliance - only authorized users can access documents stored in Document Server
- Better control - multiple iterations of documents are managed by Document Server for complete revision control
- Localized for French, Japanese, Spanish, Brazilian, Portuguese, Dutch, German, Greek, Arabic, and Italian
Automatically index documents
Manually indexing documents takes too much time and often results in errors. Utilizing the new Database Lookup feature, you can increase the productivity of your organization. Automatically import data from an external ODBC-compliance database source into Document Server profile fields in real time.
Easily create new repositories based on search results
E-discovery requests or audits and the need to share specific information with a third party often required a manual search through all electronic documents looking for anything that related to the requested information. With Document Server, you can easily search for that information and copy the documents to a new Document Server Archive and burn it to disc.
